Job purpose


The Tendering/Fleet Performance Assistant is a key role within the Ops/Tech team. There are two primary functions of this role.


  1. Coordinating vessel tender support. Ensuring all tender technical submissions are completed in a timely fashion to a high standard. Working with Ops/Technical teams to obtain relevant information is submitted.
  2. Implementing and monitoring fleet performance and associated improvement initiatives.


This role requires coordination across several departments and is critical in improving fleet performance and the smooth execution of chartering contracts and maintaining up-to-date information for tendering and contracting purposes.


Main Duties & Responsibilities of the Role


Tender Support


  • Develop, manage, streamline and document the tender support process.
  • Participate in tender kick-off meetings. Communicate requirements to Ops/Technical/HSE teams
  • Review and analyse client tender documents, specifications, and requirements.
  • Coordinate with technical, operations and HSE teams to complete optimal tender responses. Ensuring all tender technical submissions are completed in a timely/consistent fashion to a high standard.
  • Working with Ops/Technical teams to obtain relevant information and submit it.
  • Completing Technical and HSE tender returns for CSOV and CTV contracts
  • Ensure TCP summary sheets are available for Vessel Managers, Fleet Manager and Heads of Dept.
  • Post fixture monitoring/oversight- ensuring all charter party/contractual obligations are met.
  • Maintain a library of standard tender documents, project references, and vessel data sheets.
  • Monitor and report progress on fleet improvement initiatives
  • Fleet performance analysis-safety, ops, technical, compliance,
  • Develop a standardised internal performance review process and oversee/coordinate going forward.
  • Prepare client quarterly performance review packs.


Fleet Performance

  • Monitor and control Statutory certification compliance (Flag, Class, Insurance etc)


Skills & Knowledge:


  • Prior experience or internship in shipping or chartering is a plus.
  • Desirable diploma or Bachelor’s degree in Maritime Studies, Shipping, Logistics, or a related field
  • Attention to detail and accuracy.
  • Team player with a proactive attitude.
  • Strong organisational and communication skills.
  • Proficiency in MS Office and shipping software (e.g., IMOS, Q88, or similar).
  • Ability to multitask and work under pressure in a fast-paced environment.
  • Interest/knowledge of shipping markets and Incoterms is advantageous.
